Compliance is an operational process

Issuing a receipt or invoice happens inside the daily order flow. If product categories, tax rates or customer details are incorrect, the problem begins before information is transmitted to myDATA.

Preparation is therefore more than a technical connection. It requires coordination between the business, its accountant and the provider responsible for issuing documents.

Map the complete document flow

Write down what happens from the moment an order is completed to the moment its document is issued, transmitted and reconciled. Include dine-in, takeaway, delivery, refunds, cancellations and invoices.

Identify the system responsible for document numbering, payment method, tax classification and transmission status. Ambiguous ownership creates duplicate or missing records.

Validate master data first

Review product tax rates, business details, branches, document series and payment methods with your accountant. Do not rely on assumptions inherited from an older till or spreadsheet.

Test normal cases and exceptions

A useful pre-launch test includes a standard receipt, card and cash payments, an invoice, a cancellation and a refund or correction where applicable. Confirm both the customer-facing document and its downstream status.

Record who is allowed to perform each exceptional action. Corrections made under pressure should still follow an agreed process.

Monitor failed or pending transmissions

The team needs a routine for items that remain pending or fail. Define where the status is visible, who checks it and when the accountant is contacted.

Do not treat compliance errors as something to inspect only at month end. A small daily check prevents a long list of unclear exceptions from accumulating.

Keep an audit trail

Access levels, action history and consistent document references help the business and accountant understand what happened. Avoid shared credentials for sensitive actions and review permissions when staff responsibilities change.
